Data Retention & Privacy

Understand customer deletion requests, automatic cleanup, and what your office should archive outside Sparki.

Privacy

Sparki keeps operational customer data temporary by default.

Use this page to understand what is cleaned up automatically, what customers can request, and what your office should export before data leaves Sparki.

What Customers Can Request

Customers can open their customer portal settings to update their own personal details or request deletion of their customer account and personal data. A deletion request appears as a customer request in the dashboard so your team can review it and handle any legal or operational exceptions before processing.

If the request belongs to an active appointment, bid, document upload, or workflow answer, review the customer timeline first. The timeline gives the team context about what was sent, uploaded, requested, and completed.

Automatic Cleanup Windows

Sparki also schedules automatic cleanup for data that should not stay in the system forever.

Customer data

Customer records are scheduled for anonymization after 24 months by default.

Uploaded documents

Customer-uploaded documents are scheduled for deletion after 180 days.

Closed projects

Closed, cancelled, or completed projects are scheduled for cleanup after 180 days.

Existing data

Older data that first becomes eligible receives a 30-day grace window before cleanup.

These defaults protect the operational dashboard from becoming a permanent archive. If your office must keep a file for legal, mortgage, rental, tax, or seller-reporting reasons, export or download it into your own secured archive before the retention window ends.

What Usually Stays

Deletion and retention are not the same as hiding a row from the dashboard. Some operational records can remain as anonymized or audit-safe history so the office can still understand that an action happened without keeping unnecessary personal data.

For example, customer-uploaded files can be removed while the timeline still shows that a document request happened. Financial, audit, integration, and support records may also need separate handling depending on your contract and legal obligations.

Team Checklist

  1. Review deletion requests from Inbox or the customer timeline.
  2. Download customer-uploaded files that your office is legally required to keep.
  3. Keep CSV exports in approved team storage only.
  4. Remove local copies when they are no longer needed.
  5. Ask Sparki support before changing a privacy process for a regulated workflow.
